Creative Okanagan envisions a thriving, inclusive, connected and valued music scene.

Our mission is to strengthen the music ecosystem by creating and encouraging accessible music experiences that serve audiences, artists, and stakeholders in the Central Okanagan.

We are currently seeking a part-time contractor to support operational and communications activities at Creative Okanagan. The successful contractor is essential in ensuring smooth logistics, effective communication, and strong community engagement. The ideal contractor will be a versatile professional capable of managing various tasks, from event coordination to content creation and volunteer management. 

Key Responsibilities:

Logistics Management:

  • Organize supplier arrangements and ensure timely delivery of required materials.
  • Other examples might include coordinating hotel bookings and travel arrangements for staff, artists, and guests, ordering promotional materials, securing venues, dealing with agreements and contracts, etc. 

Sponsorship and Agreements:

  • Support management and execution of sponsorship-related activities. 
  • Maintain strong relationships with sponsors and partners.

Event and Program Management:

  • Support the ED with planning and executing events and programs, ensuring all aspects run smoothly (eg. budgets, timeline execution, etc.)
  • Ability to serve as the event manager, stage manager and emcee at events when needed is required.
  • Engaging with artists, partners, suppliers and audiences and maintaining a lively atmosphere.

Content Creation & Social Media Management:

  • Distill information provided by the ED to develop and manage content for social media, email campaigns, press releases, and website copy.
  • Ensure all communications are aligned with the organization’s brand and messaging, include appropriate calls to action, and follow conversion best practices. 
  • Schedule and plan out social media content.

Community Engagement:

  • Foster online and in-person community engagement through our social media properties and in the community
  • Address inquiries from the public, sponsors, and artists via email, social media, and in-person interactions.

Volunteer Management:

  • Assist ED with recruiting, training, and managing volunteers for various events and programs.
  • Ensure volunteers are well-supported and engaged.

Inbox and Information Management:

  • Manage the info@ inbox, delegating tasks and inquiries to appropriate team members.
  • Monitor and maintain the membership management process on the website. 
  • Add and edit events and other information and processes on the website. 
  • Maintain accurate records and assist ED with reporting as needed.

Relationship Management:

  • Build and maintain strong relationships with stakeholders, including sponsors, community members, and artists.
  • Act as a liaison between the organization and its various audiences.

  • Ability to build and maintain positive relationships with diverse stakeholders throughout the community.
  • Strong interpersonal skills and a collaborative mindset.
  • Ability to work independently and take initiative.
  • Confident and engaging public speaker, comfortable emceeing events and representing the organization.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Detail-oriented, adaptable and able to meet deadlines efficiently.
  • Excellent verbal and written communication skills.
  • Ability to create compelling and clear content for various platforms.
  • Innovative and creative approach to problem-solving and content creation.
  • Ability to bring fresh ideas to community engagement and marketing strategies.
  • Proficient in using social media platforms, email marketing tools, and content management systems.
  • Familiarity with Canva, Asana, Google Business Suite, WordPress, video editing tools and other platforms is an asset.
  • Proficient in learning new technology, tools and systems quickly. 
  • Ability to work effectively within a diverse and creative community.

Must Haves:

  • Minimum 2 years of experience with similar duties is required. 
  • Flexibility to work evenings and weekends as needed for events and programs.
  • Interest in supporting the music community and the music sector.
  • Must be based within the Central Okanagan.
  • Availability between 9am and 5pm to work with and meet with ED at least 2 days/week.

Nice to Have:

  • A degree in communications, marketing, arts administration, or a related field.
  • Experience in a similar role within a creative or non-profit organization.

The contract rate for this work is $21.00 per hour. It is a four-month contract with the possibility of extension and a rate review. This contract role is anticipated to work approximately 8 – 12 hours a week, with the potential for additional hours depending on project funding.
